Privacy Policy

This policy describes how PhoneToQuote handles information when you use our website and estimate tools. It is written in plain language for owners who create quotes and for customers who open a shared estimate link. It is not legal advice.

Who we are

What we collect

• Account email for magic link sign in (we send a one time link; we do not use passwords).
• Business profile details you enter (business name, optional phone, email, logo).
• Quotes and job notes you type or speak, including prices and scope you supply.
• Customer names and optional emails you enter on an estimate, and the name a customer types when they accept or request a change on a shared link.
• Billing entitlement records when you subscribe (customer id and subscription status from our payment processor).
• Privacy safe product analytics (event names such as visit or quote previewed). We do not store customer names, addresses, quote text, or audio in analytics.

How we use it

We use this information to run the service: sign you in, save and share estimates, email you transactional notices (magic links, customer responses), enforce the free quote allowance and paid plan limits, and improve reliability. We do not sell your data.

Processors

• Netlify hosts the application.
• Neon provides the Postgres database.
• Resend sends transactional and support email when configured.
• OpenAI may structure job notes into estimate fields only when that feature is enabled with an API key. The server still validates output and does not keep invented prices. If OpenAI is not enabled, a rule based extractor runs on our servers instead.
• Stripe handles subscription billing when billing is connected.

Speech and typing

Browser speech features may process audio on your device or by the browser vendor. You can always type instead. We do not require microphone access.

Shared links

Shared estimate links use long random tokens. Anyone with the link can view that estimate until you revoke it or delete your account. Do not post private links in public places.

Cookies

We use a session cookie only to keep you signed in after a magic link. We do not use advertising cookies or third party tracking pixels on the product.

Retention and deletion

You may export your data from Account when signed in. To delete your account and associated private data, email hello@phonetoquote.com. We will revoke shared links so customer pages stop working. Canceling a subscription stops future charges at period end; it does not by itself delete your estimates.
